An AI disclosure statement is a short, transparent declaration usually attached to a document, report, service, or communication that tells the reader when, how, and to what extent AI was involved in producing it. Trust is built on honesty. As AI tools become part of everyday work, including drafting reports, summarising research, translating documents, generating images and more, people have a right to know when they are receiving AI-assisted content. Disclosure also protects your organization from accusations of misrepresentation.

Decide when disclosure is required. Any document, communication, or decision that involved AI in its drafting, analysis, summarization, or generation should include a disclosure statement.
Create a standard template. Write two or three versions that staff can adapt with minimal effort. Make them short and plain.
Include three things in every statement: what type of AI tool was used, what role it played, and what human review was applied before the content was finalized.
State explicitly what data was NOT shared with AI, particularly for sensitive, health, or cultural information.
Make it a workflow requirement. Add "Did you use AI? If yes, add a disclosure statement" as a checklist item in your document finalization process.
